What matters when choosing visitor management software in the UAE
A visitor book records names, companies and often photos or vehicle details. In the UAE that information sits under the federal Personal Data Protection Law, which in practice means three questions worth asking any vendor: where the data is stored, how long it is kept, and whether you can delete a visitor on request.
If your office sits in DIFC or ADGM, those free zones run their own data rules separately from the federal regime, so confirm which applies to your premises before shortlisting.

Visitor data and UAE data protection law
The UAE’s federal Personal Data Protection Law, Federal Decree-Law No. 45 of 2021, sets consent-based processing as the default with defined exceptions, and sits alongside the free-zone regimes many international firms actually operate under: DIFC in Dubai and ADGM in Abu Dhabi run their own data protection laws with their own regulators. A visitor management rollout should know which regime each office sits in before standardising the sign-in flow.
Day to day that means clear notice at sign-in, restraint in what the kiosk asks for (Emirates ID scanning collects far more than most receptions need), bilingual Arabic and English flows, and a straight answer from the vendor on where data is hosted, since data residency questions come up early in UAE procurement.

Is a paper visitor book still fine in the UAE?
A paper book shows every previous visitor’s details to the next person signing in. A digital system that hides prior entries avoids that, and gives you an evacuation list you can actually use.
Does visitor management need to connect to access control?
Only if you have turnstiles or lift dispatch. For a single floor with a staffed reception, check-in and host notification usually cover it.
How long should visitor records be kept?
Keep them as long as you have a reason to, and no longer. Pick a retention period, set it in the system, and make sure it can be changed later.
