What matters when choosing visitor management software in Japan

A visitor book records names, companies and often photos or vehicle details. In Japan that information sits under the Act on the Protection of Personal Information, which in practice means three questions worth asking any vendor: where the data is stored, how long it is kept, and whether you can delete a visitor on request.

Ask whether the visitor-facing screen is available in Japanese, not just the admin console. A reception system your visitors cannot read is a reception system your receptionist still operates manually.

Visitor data and the APPI

Japan’s Act on the Protection of Personal Information, supervised by the Personal Information Protection Commission, treats visitor names, companies and contact details as personal information. The practical duties are familiar: state the purpose of collection, keep the data secure, and do not repurpose it. The APPI also has specific rules about providing personal data to third parties, which matters if reception is outsourced or building management receives visitor lists.

Reception in Japan carries higher formality expectations than most markets, and self-service works best when it respects that: full Japanese language support throughout (not a translated menu bolted onto an English flow), correct name handling in kanji with furigana where needed, and a process that lets a host greet the visitor promptly rather than leaving guests waiting at an unattended kiosk.
