What is inside

Every column is there for a reason. Change the labels if you like, keep the columns.

Weekly schedule tab

Monday to Friday across the top, half-hour slots from 08:00 to 18:00 down the side.

Rooms tab

Room name, floor, seats, screen, video call kit, phone. Capacity lives here.

Booking log tab

Date, room, start, end, booked by, team, attendees, turned up. Filter it at month end.

House rules tab

Maximum booking length, how to cancel, what happens to no-shows, who to call for the screen.

How to use it

Three habits that keep the sheet trustworthy after the first week.

Copy the week tab

Name it by the Monday date. One person owns the sheet; everyone else sends a request.

Write the meeting into the slot

Meeting name, owner and headcount, so the smallest room that fits gets used.

Log it, release no-shows

A room empty fifteen minutes after the start goes back to the team. The log shows the pattern.

Questions people ask

How do I use the room scheduling template?
Copy the weekly tab once per week and name it by the Monday date. Reception or the office manager owns the sheet; everyone else emails or messages a request. Write the meeting name, the owner and the headcount into the slot, and keep the booking log tab updated so you can see patterns at month end. The room scheduler glossary entry explains the terms.
Which rules keep a booking spreadsheet working?
Three rules stop a shared sheet turning into a fight. One owner edits it. Bookings longer than two hours need a reason. A room not used fifteen minutes after the start is released, and the log records it. Write these on the house rules tab so they are next to the schedule rather than in an old email.
Should I use a sheet or a shared calendar for room booking?
A shared Outlook or Google calendar per room is a step up from a sheet, because people can see clashes as they book. It still cannot stop double bookings across sites, release no-shows, or tell you which rooms are booked over their seated capacity.
When does the spreadsheet stop being enough?
A booking sheet is fine for one office with a few rooms. It breaks when there are two sites, when people book from their phones, when Outlook and the sheet disagree, or when nobody knows how often rooms sit empty while booked. That is the point to move to meeting room booking software with calendar sync, no-show release and utilisation reporting. The columns in this template map onto it directly.
