What matters when choosing visitor management software in Saudi Arabia
A visitor book records names, companies and often photos or vehicle details. Visitor data and the Saudi PDPL
Saudi Arabia’s Personal Data Protection Law, issued by Royal Decree M/19 and since amended, is overseen by the Saudi Data and Artificial Intelligence Authority. It grants individuals rights of access, correction and erasure, and requires processing to rest on a defined legal basis with transparency about purpose. Visitor sign-in records fall squarely inside it.
For the front desk the working checklist is: Arabic-first bilingual sign-in, notice of purpose at collection, a hard look at whether ID scanning is necessary for the visit type, retention that is set deliberately rather than defaulted to forever, and hosting arrangements the vendor can explain clearly, since residency and cross-border transfer questions are standard in Saudi enterprise procurement.

A paper book shows every previous visitor’s details to the next person signing in. A digital system that hides prior entries avoids that, and gives you an evacuation list you can actually use.
Does visitor management need to connect to access control?
Only if you have turnstiles or lift dispatch. For a single floor with a staffed reception, check-in and host notification usually cover it.
How long should visitor records be kept?
Keep them as long as you have a reason to, and no longer. Pick a retention period, set it in the system, and make sure it can be changed later.
