What matters when choosing visitor management software in Hong Kong

A visitor book records names, companies and often photos or vehicle details. In Hong Kong that information sits under the Personal Data (Privacy) Ordinance, which in practice means three questions worth asking any vendor: where the data is stored, how long it is kept, and whether you can delete a visitor on request.

Hong Kong floorplates are small and lobbies are busy, so check-in speed matters more here than almost anywhere. Look for QR or pre-registration rather than a shared tablet queue.

Visitor data and the PDPO

Hong Kong regulates personal data under the Personal Data (Privacy) Ordinance, Cap. 486, overseen by the Privacy Commissioner for Personal Data. Its six data protection principles map directly onto visitor sign-in: collect for a lawful, stated purpose; keep the record accurate and no longer than needed; use it only for that purpose; secure it; be transparent about your policies; and give individuals access and correction rights over their own record.

Locally, a shortlist should also handle bilingual reception as standard: kiosks and notifications that switch cleanly between English and Traditional Chinese, and badge printing that copes with both scripts. Grade A towers in Central commonly pair tenant sign-in with building turnstile passes, so integration with landlord systems is worth asking about early.

How we evaluated these systems

Each tool was assessed on how visitors check in and are hosted, how configurable the visitor record is, evacuation and roll call, whether it joins up with desks, rooms and parking, and cost. Product detail and pricing come from vendor documentation and public pricing pages. Where a vendor publishes no price we say custom quote rather than estimate one.

Disclosure: HybridHero is our product and we have listed it first. Every other tool is described on what it genuinely does well.

How to choose

  • Visitors only, or the whole workplace? If desks, rooms and parking are also unsolved, a single platform costs less than four tools and gives you one view of who is on site.
  • Who needs the evacuation list? If your fire warden cannot pull a live roll call from a phone, the system has not solved the problem it was bought for.
  • How regulated is your sector? Contractor inductions, NDAs and identity checks narrow the list quickly.
  • What is the real cost? Add badge printers, tablets and per-location fees before comparing monthly prices.

Frequently asked questions

Is a paper visitor book still fine in Hong Kong?

A paper book shows every previous visitor’s details to the next person signing in. A digital system that hides prior entries avoids that, and gives you an evacuation list you can actually use.

Does visitor management need to connect to access control?

Only if you have turnstiles or lift dispatch. For a single floor with a staffed reception, check-in and host notification usually cover it.

How long should visitor records be kept?

Keep them as long as you have a reason to, and no longer. Pick a retention period, set it in the system, and make sure it can be changed later.
