What is inside

Every column is there for a reason. Change the labels if you like, keep the columns.

Date

The day of the visit. One row per visitor, per visit.

Visitor and company

Full name as your policy asks for it, and the organisation they represent.

Host

The employee they are visiting. The host is responsible for them on site.

Purpose

Meeting, delivery, interview, contractor work, audit.

Time in and time out

Both matter. The time out is what an evacuation roll call needs.

Badge and sign-off

The badge issued, and confirmation the visitor accepted your site rules or NDA.

How to use it

Three habits that keep the sheet trustworthy after the first week.

Add your site name and logo

Open the file, fill in the header, print a batch or keep it on the reception laptop.

One row per visitor, per visit

Record time out as well as time in, and recover the badge at sign-out.

Lock it away, then destroy on schedule

Set a retention period in your visitor policy and keep completed sheets out of sight.

Questions people ask

What is a visitor log for?
A visitor log is the record of every non-employee who enters the building: who they were, who they came to see, and when they arrived and left. Reception uses it to issue badges, hosts use it to know a guest has arrived, and in an evacuation the fire warden uses it to confirm every visitor is out. The visitor log entry in the glossary covers the legal side; the short version is that the record needs to be accurate, kept for a defined period, and not left open on the desk for the next visitor to read.
Visitor log template in Word or Excel: which one?
Use the Excel version if reception types entries on a laptop, because you can filter by host or date and export a list for an audit. Use the Word version if you print sheets for a clipboard at an unstaffed entrance. Both carry the same columns, so a site can switch later without retraining anyone.
What is the right visitor register format and retention?
Keep one row per visit, never per day. Record time out as well as time in. Store completed sheets somewhere locked, and set a retention period in your visitor policy so old pages are destroyed on schedule rather than kept forever. If visitors sign the sheet, cover previous entries so names are not visible to the next person; that is the reason many sites move the log to a tablet.
When does a paper log stop being enough?
A sheet works for a handful of visitors a day. It stops working when hosts miss arrivals, badges go home in pockets, or an auditor asks who was on site on a given Tuesday in March. At that point a digital sign-in with pre-registration, host alerts and an exportable record does the same job with less chasing. That is what HybridHero visitor management is for, and the columns in this template map straight onto it. More free resources live in the HybridHero Hub.
From clipboard to check-in

Visitor sign-in that runs itself

HybridHero replaces the paper log with tablet sign-in, host notifications, printed badges and a record you can export for any audit, on the same platform your desks and rooms are booked in.
