If you are shortlisting visitor management or workplace booking software, Envoy is probably on the list. It started as a front-desk sign-in app and grew into a wider workplace platform. This Envoy review covers what Envoy is, what it does well, how its pricing model works, and who it suits, based on Envoy’s own pages and user reviews on Capterra and GetApp.
What is Envoy?
Envoy describes itself as a platform for “trusted visitor management, workplace management, and emergency management”. Its best-known product is Visitors: a kiosk sign-in flow with pre-registration, badges, digital NDAs and host alerts. Around it sit Resource Booking for rooms, desks and parking, Critical Event Management, Mailroom Management, Digital Signage and Workplace Analytics that pulls occupancy and presence data from connected systems.
Its customer logos are large US enterprises, and the compliance list on its security page (ITAR, HIPAA, FSMA, C-TPAT) reflects that audience.
Envoy strengths and weaknesses
Envoy has a long record in front-desk software. The trade-offs sit in how it is packaged and sold.
What Envoy does well
Visitor check-in reviewers describe as simple. Identity verification, blocklists and third-party watchlist screening for security-sensitive sites. Over 100 listed integrations, including more than twenty access control systems.
Where it runs into limits
Each product is priced separately, on a different unit, on top of a platform fee. Deliveries sits on the Enterprise tier only. Reviewers say core functions need a paid upgrade and that weekend support is limited. HR and leave management are not part of the platform.
Key features of Envoy
Visitor management
Visitors offers customisable sign-in flows per visit type, pre-registration and group invites, and host notifications through the mobile app, Slack or Teams. Badges carry a photo, timestamp, host name and logo. Digital documentation handles NDAs, quizzes and training certificates, and every visit sits in an audit trail with exportable reports. Higher tiers add ID scanning, blocklist checks, access control integration and guest Wi-Fi. A Virtual Front Desk option connects visitors to a remote receptionist by video.
Desk, room and parking booking
Resource Booking lets admins set seating policies, manage neighbourhoods and label team areas on a live map. Desk booking runs from the mobile app, Google Calendar or Outlook. Rooms get colour-coded door displays, one-tap check-in and auto-release for unused bookings. Parking covers daily assignments, accessible and EV spots, live maps and auto-release. All three feed the same usage dashboards.
Deliveries, signage and emergency response
Mailroom Management scans package labels, matches recipients and records pickup with a photo or signature. Digital Signage manages workplace screens. Critical Event Management adds a threat dashboard, alerts by SMS, email, push, Slack, Teams and signage, safety check-ins and roll call.
Integrations and security
The integrations page lists over 100 apps: Google Calendar, Outlook, Slack and Teams; Okta, Microsoft Entra ID, OneLogin and SAML for identity; access control systems from Brivo, Kisi and Verkada to Gallagher and LenelS2; Wi-Fi provisioning; and webhooks, Zapier and Power Automate. HR integrations are limited to recruiting tools (Greenhouse, GoodTime). On security, Envoy cites SOC 2 Type II, GDPR, CCPA, TLS 1.2 or higher in transit, AES-256 at rest, SAML SSO, role-based administration, penetration testing and a bug bounty. ISO 27001 is not mentioned on that page.
Envoy pricing and value
Envoy pricing is a set of separate meters rather than one plan. Visitors has three tiers: a free Basic plan with a monthly cap on entries and employees, a Premium plan billed per workplace location, and an Enterprise plan on a custom quote. Branding, badge printing, Virtual Front Desk and analytics start at Premium. ID scanning, blocklists, access control integration and guest Wi-Fi are Enterprise.
Every other product is charged on its own unit, on top of a platform fee billed separately. Reservations is per bookable resource, so every desk, room and parking bay counts. Response is per user. Screens is per device. Deliveries is per delivery location and Enterprise only. For current tiers, check Envoy’s pricing page, since published prices change.
Pros and cons from user reviews
Envoy is rated 4.8 out of 5 on Capterra UK and GetApp, from 428 reviews at the time of writing. G2 could not be loaded for this review.
What users like
A simple interface for guests and hosts. Real-time arrival alerts. Visitor records, signed forms and check-in options (iPad, QR code, web) in one place. Okta and Slack integrations. Support staff described as fast and knowledgeable when reached.
What users wish were better
Pricing is the most repeated complaint, with reviewers saying core functions sit behind paid upgrades. Some report frequent automatic logouts. Weekend support is limited, and reviewers note the loss of dedicated account representatives.
Who Envoy is best for
A good fit
Security-led organisations where the front desk is the priority: regulated manufacturers, labs, defence suppliers and US enterprises that need ID scanning, watchlist checks and access control tie-ins.
Worth looking wider
Teams where booking, not sign-in, is the daily job. Organisations that want desks, rooms, visitors and parking on one quote, HR and leave next to booking, ISO 27001 certified infrastructure, or 24/7 human support in the plan.
Envoy alternative: why teams choose HybridHero
If Envoy’s visitor product drew you in but the packaging puts you off, HybridHero is the usual Envoy alternative. Desks, rooms, visitors and parking sit in one platform on a single quote, with HR and leave management on the same system.
To be fair to Envoy, it covers more of the front-of-house stack. Mailroom tracking, digital signage, a virtual receptionist and a threat intelligence feed are things HybridHero does not sell. The case for HybridHero is scope in the other direction: HR and leave run on the same platform as booking, parking is its own module rather than another metered resource, infrastructure is ISO 27001 certified, and pricing is a custom quote confirmed on a 30-minute call and in writing, so adding a floor or a car park does not add a new meter.
