The short version
- Hybrid work software is the layer that coordinates office days and books the space: desk booking, meeting rooms, visitors, parking and attendance reporting. Video and chat tools sit alongside it, not in place of it
- Our pick for mid-market and enterprise is HybridHero, because desks, rooms, visitors and parking come in one plan structure rather than as separate modules. HybridHero is our product; the reasoning and its limitations are below
- Skedda and Tactic carry the strongest G2 ratings on this list. Robin, Eptura Engage and OfficeSpace suit large estates; deskbird suits EU-hosted mid-market teams
- The pricing model decides the bill more than the headline rate: per user, per resource, per space and per module can differ several times over for the same office
The best hybrid work software for most organisations of 200 to 5,000 people is a platform that lets employees see who is coming in, book the desk, room or parking bay they need, and gives facilities real utilisation data. We compared 11 tools on those jobs, using each vendor’s own pricing and security pages and live G2 ratings, all checked on 28 September 2026.
Disclosure: HybridHero is our product. We have ranked it first and made the reasoning transparent: the criteria and weights are published below, the ratings are G2’s own figures, and every entry lists its limitations, including ours. No vendor paid for placement.
What counts as hybrid work software?
Hybrid work software coordinates when people come to the office and what they use when they get there. The core jobs are desk and room booking, seeing which colleagues are in, visitor sign-in, parking, and reporting on how the space is actually used. Microsoft Teams, Zoom and Slack are collaboration tools: they connect people wherever they are, but they do not manage the office itself. Most organisations run both, with the booking tool plugged into the collaboration tools people already use.

Workplace Management Software Demo: Full Walkthrough A full walkthrough of HybridHero with founder and CEO Chris Burke: desk booking, meeting rooms, visitor management, parking and remote working days in one platform. Watch on YouTubeEvery tool was assessed against the same seven criteria, weighted towards what decides whether hybrid software gets used after launch. We rank on fit for a 200 to 5,000 person hybrid organisation. G2 ratings are shown for every tool but not used to rank, because review counts vary from 18 to over 500 and a small base swings easily.
| Criterion | Weight | What we checked |
|---|
| Module coverage | 20% | Desks, rooms, visitors, parking and analytics, and whether each is included or sold separately |
| Team coordination | 20% | Seeing who is in, planning office days together, finding colleagues |
| Security and admin | 15% | Certifications stated on the vendor’s own site, SSO, provisioning, multi-site permissions |
| Integrations | 15% | Microsoft 365, Teams, Google Workspace, Slack and identity providers |
| Analytics | 10% | Booked versus actual attendance, utilisation by team and location, exports |
| Pricing model and transparency | 10% | Whether a price is published and how the model scales with headcount |
| Rollout and support | 10% | Migration help, onboarding and support hours |
Sources: each vendor’s pricing, security and product pages, and each product’s G2 reviews page, all checked on 28 September 2026. We did not have trial accounts for the competing tools, so we do not claim hands-on testing of them; everything we say about them comes from their own published pages. Where a vendor does not state something, we say so rather than guess. Prices change often, so confirm them with the vendor before you buy.
1. HybridHero: best for one platform across desks, rooms, visitors and parking
| G2 rating | 4.4/5 from 18 reviews (checked September 2026). Capterra 4.3/5 from 44 reviews. |
| Pricing | Custom quote, confirmed on a consultation call. Three plans: Team, Professional, Enterprise. One-month free trial. |
| Best fit | Mid-market and large enterprise, single or multi-site |
| Security | ISO 27001 certified, GDPR compliant, SAML and OIDC SSO (Professional and above) |
| Modules | Desk booking, meeting rooms, visitor management, parking, HR and leave, reporting |
HybridHero is our product, so read this entry with that in mind. We rank it first because every core module is in the plan rather than sold separately: desk booking with team neighbourhoods and bulk booking, meeting rooms with check-in by app, QR code or room panel, visitor management with pre-registration, host alerts and badge printing, and parking with accessible bays. Visitor management is included from the entry Team plan. Several tools below cover the same ground but price visitors, or each module, as a separate line.
For coordination, anyone can open the floor plan and see who has booked a space, and the Who’s In, Who’s Out view lists teammates in the office that day. Unclaimed desks return to the pool automatically after a missed check-in, which keeps the utilisation reports honest. Reporting breaks attendance down by day of week, team and location, with heat maps and CSV or Excel export on Professional and above.

See who is in, remote or away The People view: where everyone is working today. See all product toursFor IT, sign-in runs through SAML or OIDC single sign-on with Microsoft Entra ID, Okta or Google. SCIM 2.0 provisioning works with Okta, and Entra ID provisions and deprovisions users. It integrates with Microsoft Teams, Outlook, Google Workspace and Slack, and the interface runs in 15 languages. If you are replacing another tool, the Switch Programme (Enterprise plan) covers the move: a one-page migration plan, with most organisations live within 30 days.
Strengths: desks, rooms, visitors and parking in one plan structure, ISO 27001 certification, 24/7 real human support, prioritised on Professional and above, and a structured migration path off an incumbent.
Limitations: pricing is not published, so you need a call to get a number. The G2 review base is small at 18 reviews, far fewer than Skedda or Tactic. Booking by asking the AI assistant covers desks only and is in early access. There is no maintenance ticketing; HybridHero works alongside your facilities management platform for that. Emergency alerts are a paid add-on.
Choose HybridHero if you want desks, rooms, visitors and parking under one vendor review, with SSO and multi-site control on Professional and above, and you would rather have a migration handled than run one yourself.
2. OfficeRnD Workplace: best for per-resource pricing on a broad platform
| G2 rating | 4.6/5 from 158 reviews (checked September 2026) |
| Pricing | Per bookable resource plus per meeting room, with a minimum commitment. Enterprise is custom. |
| Best fit | Mid-market, multi-location |
| Security | SOC 2 Type II, ISO 27001:2022, GDPR, CCPA |
| Modules | Desks, rooms, parking, analytics. Visitor Hub is an add-on. |
OfficeRnD bills per bookable resource rather than per employee, so an office with far more people than desks does not pay for every head. The entry Start plan is capped at 150 users, and visitor management sits in a separate Visitor Hub product.
Strengths: Pricing that does not grow with headcount, a published price list, and a strong security stack.
Limitations: Visitor management costs extra. The Start plan caps at 150 users, so larger teams move up a tier.
Choose OfficeRnD Workplace if you have many more employees than desks and want a published per-resource price.
3. Robin: best for large enterprises that want analytics depth
| G2 rating | 4.4/5 from 211 reviews (checked September 2026) |
| Pricing | Quote only. The AI assistant and custom reports are add-ons. |
| Best fit | 500+ employees, by Robin’s own guidance |
| Security | Its security page cites ISO 27001 and SOC 2 for its AWS hosting; its own certification is not stated |
| Modules | Desks, rooms, visitors, parking, lockers, analytics |
Robin books desks, rooms, parking and lockers from one platform and says it is built for companies with more than 500 employees. Pricing is tailored per organisation, so there is no public number to compare.
Strengths: Broad bookable-asset coverage, including lockers, and a platform designed for large estates.
Limitations: No published pricing. The AI assistant and custom reports cost extra. Its security page cites its hosting provider’s certifications rather than its own.
Choose Robin if you run a large multi-office estate and budget for add-ons.
4. Envoy Workplace: best for visitor-led offices
| G2 rating | 4.4/5 from 162 reviews (checked September 2026) |
| Pricing | Per module. Reservations $5 per bookable resource per month; Visitors Premium $362 per location per month; both annual and before a platform fee. |
| Best fit | Front-desk-heavy and regulated offices |
| Security | SOC 2 Type II, ISO 27001 |
| Modules | Desks, rooms, visitors, parking, analytics (each a module) |
Envoy sells each capability as its own module on a shared platform. That suits a buyer who starts at the front desk: the Visitors Basic tier is free for up to 100 entries a month, and you add desk and room reservations later.
Strengths: Visitor management as its lead product, a free entry visitor tier, and published per-module prices.
Limitations: Listed prices exclude a required platform fee, and module costs stack as you add desks, rooms and parking.
Choose Envoy Workplace if the lobby is your first problem and hybrid booking comes second.
5. Skedda: best for booking rules and many users sharing few spaces

| G2 rating | 4.8/5 from 287 reviews (checked September 2026) |
| Pricing | Per space with unlimited users. US Plus from $249/mo billed annually (35 spaces); Starter from $99/mo (15 spaces) in EMEA and APAC. |
| Best fit | SMB to mid-market |
| Security | SOC 2 Type 2 |
| Modules | Desks, rooms, parking, analytics. Visitor management is a $99/mo add-on. |
Skedda charges per space, and every desk, room or bay counts against the plan limit. Users are unlimited, so cost stays flat as headcount grows. It holds one of the highest G2 ratings here, from a large review base.
Strengths: Unlimited users, a 14-day trial with no payment method, and strong user ratings.
Limitations: Assigned spaces start at the Premier plan. Visitor management is a paid add-on. Every desk, room and bay counts toward the plan limit.
Choose Skedda if you have a small number of spaces shared by many people and want tight booking rules.
6. deskbird: best for EU data residency and mobile-first booking

| G2 rating | 4.5/5 from 311 reviews (checked September 2026) |
| Pricing | Per active user. Business from EUR 2.75/user/month billed annually. Professional and Enterprise are custom. |
| Best fit | SMB to mid-market, Europe |
| Security | ISO 27001, SOC 2 Type 2, EU-only hosting |
| Modules | Desks, rooms, parking, analytics. Visitors Plus is an add-on. |
deskbird hosts data only in the EU and has a large G2 review base. The Starter plan is free for up to 15 users, which makes a pilot easy.
Strengths: EU-only hosting, a free plan for small teams, and a well-reviewed app.
Limitations: Only the Business tier has a public price. Per-user billing rises as adoption grows. Visitors and advanced analytics sit on add-ons or higher tiers.
Choose deskbird if data must stay in the EU and your team books mostly from phones.
7. Tactic: best for buying one module at a time

| G2 rating | 4.6/5 from 557 reviews (checked September 2026) |
| Pricing | Quote only, with an online estimator. Its own example: desk booking for 100 desks at $3,600 to $4,800 a year. |
| Best fit | SMB to enterprise |
| Security | SOC 2 Type II |
| Modules | Desks, rooms, visitors, parking, analytics (each sold separately) |
Tactic sells each product on its own, so you can start with desk booking and add visitors or parking later. It has the largest G2 review base on this list.
Strengths: Modular buying, a public estimator, and a large review base.
Limitations: No list price; the final figure depends on scope. Costs grow as you add modules.
Choose Tactic if you want to start small with one module and expand.
8. Kadence: best for paying only for people who book
| G2 rating | 4.5/5 from 143 reviews (checked September 2026) |
| Pricing | Quote only, billed per active user, one-year minimum. Floor plan setup is $250 per floor. |
| Best fit | Mid-market distributed teams |
| Security | SOC 2, Cyber Essentials |
| Modules | Desks, rooms, visitors, analytics. Parking not confirmed on its site. |
Kadence only charges for people who booked in a given month, which keeps cost down when attendance is uneven.
Strengths: Active-user billing and a good G2 rating.
Limitations: No public price, a one-year minimum, and a per-floor setup fee.
Choose Kadence if attendance is uneven and you only want to pay for people who book.
9. YAROOMS: best for compliance-led and on-premises deployments
| G2 rating | 4.3/5 from 98 reviews (checked September 2026) |
| Pricing | Flat tiers by team size. Starter from $99/mo for 10 users. Visitor management is a separate product at $99 per location per month. |
| Best fit | Regulated industries, public sector |
| Security | ISO 27001, ISO 27701, SOC 2 Type 2 |
| Modules | Desks, rooms, analytics. Parking on Enterprise only; visitors a separate product. |
YAROOMS lets Enterprise customers deploy on Azure, AWS or their own servers, which matters where data cannot sit in a vendor’s cloud. It also holds ISO 27701 for privacy management.
Strengths: On-premises option, a broad certification set, and published tier prices.
Limitations: Parking and API access are Enterprise only. Visitor management is billed per location. Tiers cap users, so growth forces an upgrade.
Choose YAROOMS if on-premises deployment or privacy certification is a hard requirement.
10. Eptura Engage: best for Outlook-centred enterprises (formerly Condeco)

| G2 rating | 4.3/5 from 179 reviews (checked September 2026) |
| Pricing | Quote only (Advanced and Power plans). |
| Best fit | Large enterprise, financial services |
| Security | ISO 27001, CSA STAR, FSQS, GDPR |
| Modules | Desks, rooms, parking, analytics. Visitors is a separate Eptura product. |
Eptura Engage is the platform formerly sold as Condeco. Room booking runs through a Microsoft Outlook add-in, and it carries FSQS, a supplier standard common in UK financial services.
Strengths: Deep Outlook workflow and procurement-friendly certifications for banks.
Limitations: No public pricing. Intelligent booking and natural-language search are Power plan only. Visitor management is a separate product.
Choose Eptura Engage if your organisation lives in Outlook and procurement asks for FSQS.
11. OfficeSpace Software: best for space planning
| G2 rating | 4.7/5 from 128 reviews (checked September 2026) |
| Pricing | Quote only (Essentials Plus and Pro Plus). |
| Best fit | Enterprise real estate teams |
| Security | SOC 2 Type 2, CSA STAR Level 1 |
| Modules | Desks, rooms, visitors, analytics. Parking not confirmed on its site. |
OfficeSpace leans towards real estate and space planning, with AI agents that answer planning and utilisation questions. It suits teams where the planning decision matters more than the booking flow.
Strengths: Planning depth and a strong G2 rating.
Limitations: No public pricing. Badge, WiFi and IoT utilisation connectors are on the Pro Plus plan only.
Choose OfficeSpace Software if space planning and portfolio decisions lead your requirement.
What each vendor publishes
How open a vendor is about price and security tells you how much work procurement will take. This is what each vendor’s own site stated on 28 September 2026.
| Tool | Price published | Pricing model | Own security certification stated |
|---|
| HybridHero | No, custom quote | Plan-based | ISO 27001 |
| OfficeRnD Workplace | Yes | Per resource | SOC 2 Type II, ISO 27001:2022 |
| Robin | No | Quote | Hosting provider only |
| Envoy Workplace | Partly (platform fee not listed) | Per module | SOC 2 Type II, ISO 27001 |
| Skedda | Yes | Per space | SOC 2 Type 2 |
| deskbird | Entry tier only | Per active user | ISO 27001, SOC 2 Type 2 |
| Tactic | Estimator only | Per module | SOC 2 Type II |
| Kadence | No | Per active user | SOC 2, Cyber Essentials |
| YAROOMS | Yes | Flat tiers | ISO 27001, ISO 27701, SOC 2 Type 2 |
| Eptura Engage | No | Quote | ISO 27001, CSA STAR, FSQS |
| OfficeSpace Software | No | Quote | SOC 2 Type 2, CSA STAR Level 1 |
How hybrid work software is priced
Four pricing models appear on this list, and the same office can cost very different amounts under each. The deciding number is how many employees share how many desks.
| Model | You pay for | Cheapest when | Tools here |
|---|
| Per user | Each person who books, or each active booker | Headcount is close to desk count | deskbird, Kadence |
| Per resource or space | Each bookable desk, room or bay | Many more people than desks | OfficeRnD Workplace, Skedda |
| Per module | Each capability, sometimes plus a platform fee | You only need one or two modules | Envoy Workplace, Tactic |
| Plan or quote | A tier or a negotiated scope | You need several modules and multi-site control | HybridHero, Robin, YAROOMS, Eptura Engage, OfficeSpace Software |
A worked example with published list prices: 200 employees sharing 80 desks and 10 meeting rooms. On deskbird Business at EUR 2.75 per user per month, 200 users come to EUR 550 a month. On Envoy Reservations at $5 per bookable resource per month, 90 desks and rooms come to $450 a month before Envoy’s platform fee. Double the headcount without adding desks and the per-user bill doubles while the per-resource bill stays put. Before comparing quotes, ask each vendor whether SSO, visitor management, analytics and parking are in the tier you are quoted, because those are the lines that most often sit one tier up or on an add-on.
How to choose the right hybrid work software
| If your main need is | Start with |
|---|
| Desks, rooms, visitors and parking from one vendor, with SSO and multi-site control | HybridHero (Professional and above) |
| A published per-resource price with far more people than desks | OfficeRnD Workplace |
| Many people sharing a few spaces under strict booking rules | Skedda |
| A secure, regulated front desk first | Envoy Workplace |
| EU-only data hosting | deskbird |
| On-premises deployment | YAROOMS |
| A large estate with portfolio analytics | Robin, OfficeSpace Software |
| Starting with one module and adding more later | Tactic |
Then run the same demo script with every vendor. Ask them to show each journey live with sample data, and record each one as demonstrated, configuration-dependent or not demonstrated.
| Area | Ask the vendor to demonstrate |
|---|
| Desks | Find a desk near a colleague, book it, then cancel it |
| Meeting rooms | Book a room, handle a clash, and show what happens to an unused booking |
| Parking | Apply eligibility rules and release an unwanted space |
| Coordination | Show who is in on a given day without confusing plans with actual attendance |
| Integrations | Show which direction calendar updates and cancellations sync |
| Reporting | Explain whether each metric counts bookings, check-ins or observed occupancy |
| Administration | Show roles, multi-site permissions, exports and which features need enabling |

Frequently asked questions
What is the best hybrid work software in 2026?
For mid-market and enterprise organisations that want desks, rooms, visitors and parking from one vendor, we rank HybridHero first (it is our product; see the disclosure above). Skedda suits many users sharing few spaces, deskbird suits EU-hosted mid-market teams, Envoy Workplace suits visitor-led offices, and Robin suits estates of 500 people or more.
Is Microsoft Teams hybrid work software?
Teams is a collaboration tool, not a workplace management tool. It handles chat, calls and meetings wherever people are. Hybrid work software manages the office side: desk and room booking, visitors, parking and attendance data. The two work together when the booking tool integrates with Teams and Outlook, as HybridHero does, or runs as an Outlook add-in, as Eptura Engage does.
How much does hybrid work software cost?
Published entry prices on this list range from EUR 2.75 per user per month (deskbird Business) to $99 a month for per-space or flat-tier plans (Skedda, YAROOMS). Robin, Kadence, Eptura Engage, OfficeSpace Software and HybridHero price by quote. The model matters more than the rate: per-resource pricing is usually cheaper when employees far outnumber desks.
Which hybrid work software is ISO 27001 certified?
On their own sites, HybridHero, OfficeRnD Workplace, Envoy, deskbird, YAROOMS and Eptura Engage state ISO 27001 certification. Robin cites certifications held by its hosting provider rather than its own. Ask for the certificate itself during procurement.
What features should hybrid work software have?
At minimum: desk and room booking on a floor plan, a view of which colleagues are in, check-in with automatic release of unused bookings, calendar and Teams or Slack integration, single sign-on, and reports that separate booked attendance from actual attendance. Visitor management and parking matter if you run a front desk or a car park.
