What the Microsoft 365 integration does

HybridHero is a separate workplace management platform that connects to your Microsoft tenant. It does not replace Outlook or Teams, and it does not run inside them. It keeps the two systems in step so a booking made in one place is reflected in the other.

Three things are connected: your calendars in Outlook and Microsoft 365, your sign-in through Microsoft Entra ID (Azure AD), and your notifications in Microsoft Teams. Employees book desks and rooms in HybridHero on web, iOS or Android, and the calendar entries land where they expect them.

Outlook room booking integration

Rooms are the case where two systems disagreeing causes the most damage. If a room is booked in Outlook and HybridHero does not know, somebody walks into an occupied room. The two-way sync is there to stop that.

Room bookings, changes and cancellations move in both directions between HybridHero and the Microsoft 365 calendar. Auto-release of unused bookings is part of the platform, so rooms held by a no-show go back into the pool. Microsoft Teams desk booking updates

Desk bookings are made in HybridHero, on the web app or the iOS and Android apps. What Microsoft Teams gives you is the message layer: confirmations, reminders to check in, and approval prompts for managers arrive in Teams, so people do not need to go looking for them.

The practical effect on hot desk booking is adoption. A reminder that arrives in a tool people already have open gets acted on. Read more on Microsoft Teams in the glossary.

Single sign-on with Microsoft Entra ID

HybridHero supports single sign-on and Active Directory from the Professional plan. Staff sign in with their existing Microsoft credentials, and multi-factor authentication is enforced at the identity layer rather than by HybridHero. Multi-tenant SSO is available on the Enterprise plan, which matters if you run separate tenants across regions or subsidiaries.

Questions about the Microsoft 365 integration

Does HybridHero work with the Outlook calendar?

Yes. HybridHero syncs with Outlook and Microsoft 365 calendars. Bookings made in HybridHero appear in the calendar, and room bookings made in Outlook are reflected back in HybridHero. HybridHero is a separate application, so you book in HybridHero rather than inside Outlook itself.

Do room bookings sync both ways?

Yes. Meeting room bookings, changes and cancellations sync in both directions between HybridHero and Microsoft 365. Desk and parking bookings currently flow one way, from HybridHero into the calendar.

Is single sign-on supported?

Yes. Single sign-on and Active Directory are included from the Professional plan. Microsoft Entra ID (Azure AD) and Okta are both supported. Multi-tenant single sign-on is on the Enterprise plan.

What about Microsoft Teams Rooms hardware?

HybridHero syncs meeting room bookings with the room calendars in Microsoft 365. Compatibility with a specific Microsoft Teams Rooms device or room panel is confirmed on your consultation call, because it depends on how your rooms and resource mailboxes are configured. Which plan includes the Microsoft 365 integration?

Can we connect HybridHero to other systems as well?

Yes. The Enterprise plan includes a custom API and third-party integrations for HR systems, access control and internal reporting. HybridHero also connects to Google Workspace, Slack and Okta.
