The challenge
Post-pandemic attendance across Coface’s Central and Eastern European offices dropped sharply. The organisation was paying for space it no longer needed. With a hybrid model in place, the challenge was deciding how much space to keep, which layouts to change, and how to manage a shared desk policy across a large, dispersed workforce.
What they needed
A platform that went beyond desk booking. Coface needed utilisation data at desk, room, and floor level; the ability to manage parking and meeting rooms in the same system; and compliance features covering fire warden and first-aider placement for each day’s attendance. It also had to roll out simultaneously across multiple countries.
The outcome
After a successful deployment in its Mediterranean and Africa Region, Coface’s global HQ selected HybridHero as the standard for all Central and Eastern European offices. Reporting data now provides the evidential basis for space reduction decisions and ongoing real estate planning.
What the data made possible The financial case for space reduction depends on being able to show that current space is not being used efficiently. Utilisation reports from HybridHero provided the specific, date-stamped, location-level evidence that operations and finance teams need to act. The reports identified which offices were underused, which zones were most in demand, and how attendance varied by day and team. That analysis justified the shift from individually assigned desks to a shared policy.
The compliance layer most platforms miss
In any shared desk environment, knowing who is physically in the building and where they are sitting is a safety obligation. HybridHero tracks daily attendance, so fire wardens and first-aiders are placed based on confirmed presence rather than scheduled intention. Coface specifically cited this as something other platforms did not offer: the ability to see, on any given day, where safety-critical personnel are actually located.
Why the regional deployment preceded the global mandate
The Mediterranean and Africa Region adopted HybridHero first. HQ’s decision to mandate it across Central and Eastern Europe was driven by the quality of that regional experience. When headquarters made the decision to standardise, the risk profile was materially lower because a significant part of the organisation had already validated the platform in a live operating environment.
