Contractor management is where visitor management gets serious. A visitor signs in and leaves. A contractor arrives with a permit, a method statement, an induction record and an insurance certificate, and if something goes wrong you have to produce all four. This pack is the checklist and record structure facilities teams use to keep that defensible.

1Before the contractor arrives

  • Confirm the scope of works and the responsible person on your side
  • Collect insurance certificates and check the expiry dates, not just their presence
  • Collect the risk assessment and method statement, and record who reviewed them
  • Check competency and qualification evidence for the specific task
  • Issue the permit to work where the task requires one, and record its validity window
  • Record right to work checks where the contractor is engaged directly

2On arrival, at the door

  • Sign in against the company, not just the individual, so you can report by contractor
  • Run the site induction and record the version of the induction they saw
  • Capture the host, the areas they are cleared for, and the expected departure time
  • Issue a visibly different badge from a standard visitor pass
  • Confirm emergency arrangements and the muster point with them, and log it

  • Keep a live list of who is currently on site, by company and by area
  • Flag anyone still signed in past their expected departure time
  • Make the live list reachable from a phone, because that is what you will have in an evacuation

4After they leave, and what an auditor asks for

  • Sign out, with an automatic close-off for anyone who forgets
  • Retain the induction record against the person and the version they saw
  • Be able to answer: who was on site on this date, from which contractor, inducted when
  • Set a retention period and apply it, rather than keeping everything forever

Frequently asked questions

What is contractor management software?

Contractor management software records and controls third-party workers on your site: their induction, competency and insurance evidence before they arrive, their sign-in and permitted areas while they are there, and a retained record afterwards. It is distinct from general visitor management because the evidence has to survive an audit or an incident investigation, not just tell reception who is in the building.

How is contractor management different from visitor management?

A visitor is escorted, short-stay and low-risk, so a name and a host is usually enough. A contractor performs work, which brings permits, method statements, insurance and induction into scope, and the record has to be produced later on demand. Most teams run both through one system but hold contractors to a stricter check-in.

What records should we keep for contractors on site?

At minimum: who they were, which company they worked for, when they arrived and left, which induction version they completed, who hosted them, and the permit reference where one applied. Keep evidence of insurance and competency against the contractor company with its expiry date, so an expired certificate is visible before they arrive rather than after an incident.

How long should contractor sign-in records be kept?

There is no single answer, because it depends on your jurisdiction, your sector and your own insurance requirements. The practical rule is to set an explicit retention period, document why you chose it, and apply it automatically. Keeping everything indefinitely creates its own data protection problem.

Do we need separate software, or can visitor management cover contractors?

One platform can cover both, provided it can hold company-level records such as insurance expiry, run a distinct induction flow, and produce a report by contractor company rather than only by individual. If your current tool only records names at a kiosk, it will not stand up as contractor evidence.
