Phoenix Software: hybrid policy management for a more-staff-than-desks environment

The challenge

COVID-19 triggered the initial requirement, but the underlying reality proved more durable: Phoenix Software has more staff than desks. In a hybrid environment, that ratio is manageable, but only with a booking system that staff trust and use consistently. Without it, the desk shortage becomes a daily source of friction and an obstacle to people wanting to come in.

What they needed

Phoenix Software’s IT team conducted a structured evaluation of available platforms. They were not looking for the longest feature list. They were looking for the platform that would actually be used. That meant aesthetic quality and intuitive design were primary selection criteria, because a beautiful, simple tool gets adopted. A functional but unintuitive one does not.

The outcome

HybridHero was selected as the most aesthetic and most intuitive platform in the evaluation. It now underpins Phoenix Software’s hybrid working policy, managing the more-staff-than-desks challenge that persists beyond the pandemic context.

The IT evaluation that matters Most IT evaluations focus on security, integration, and total cost of ownership. But for a desk booking platform used by the entire workforce, there is an additional criterion that rarely appears in procurement scorecards: will non-technical staff find this easy enough to use without asking IT for help? Phoenix Software made that the central question. The answer determined their choice.

Why a technology company chose aesthetics first

Phoenix Software is not a naive technology buyer. As Microsoft’s UK Partner of the Year, they evaluate software with more rigour than most organisations their size. A desk booking system that is technically capable but visually dated will be used reluctantly and inconsistently. When usage is inconsistent, the data is unreliable. When the data is unreliable, the more-staff-than-desks model breaks down.

Hybrid policy as a sustained operational model

The distinction worth drawing is between a hybrid policy as a statement of intent and a hybrid policy as an operational model. The statement of intent requires leadership. The operational model requires infrastructure. HybridHero is the infrastructure that makes Phoenix Software’s policy real rather than aspirational.

Our IT team named HybridHero as the most aesthetic system and incredibly intuitive as a user. HybridHero has delivered at every step and is always available to assist in any queries.
